How does invoicing work in LawnPro?

Multiple ways to create invoices—pick what works best for your workflow.

Create invoices from the Finances tab

Go to Finances → Invoices → New Invoice. Select a customer, add line items for your services, set the date, add discounts or PO numbers, and customize terms and notes. Turn any estimate into an invoice from its More Actions menu.

Create New Invoice

Invoice directly from your schedule

Close and invoice visits right from your calendar. Click a visit and hit "Complete & Invoice," select several visits in Grid View and invoice them together, or use Invoice Unbilled Visits to bill every completed visit in a date range at once.

Invoice from Schedule

Set up auto-invoicing per customer

Don't want to create invoices by hand? On a customer's page, turn on Auto-Create and Auto-Send and pick a schedule: daily, weekly on the days you choose, or monthly on a date or a day like the first Monday. LawnPro invoices that customer's completed visits and sends them by email, text, or mail, whichever the customer prefers. Auto-Create is available on paid plans.

Auto-Invoicing Settings

Send by email, text, or mail

Send invoices by email, with an optional PDF, by text message with a link to the invoice, or by USPS mail, which LawnPro prints and mails for you with postage credits. Customers view the invoice in the client portal and pay in full or in part by card, or by ACH bank transfer if you accept it.

Send Invoices

Automatic late fees

Set up to three escalating late fee rules in your settings. Each one adds a flat amount or a percentage a set number of days after the invoice is sent. LawnPro applies them automatically, and you can change the rules or turn them off for individual customers.

Late Fee Settings

Same amount every month

Deposits for installs

Collect what you're owed without chasing

Most unpaid lawn care invoices aren't disputes. Customers just forget. LawnPro reminds them for you.

Lawn care invoicing FAQ

Can I invoice lawn care customers per cut?

Yes. Complete a visit and invoice it in one step, select several visits in the Grid and invoice them together, or use Invoice Unbilled Visits to bill every completed visit in a date range at once. Settings decide whether you get one invoice per visit, per customer, or per property.

Can invoices be created and sent automatically?

Yes, on paid plans. On a customer's page, turn on Auto-Create and Auto-Send and pick a schedule, such as every Friday or the 1st of the month. LawnPro invoices that customer's completed visits and sends the invoices by email, text, or mail, whichever the customer prefers.

How do customers pay their invoices online?

Every invoice links to your client portal, where customers pay in full, pay part, or pay their whole balance by credit card or PayPal. ACH bank payments are included on the Grow and Plus plans and are an add-on on other plans. On paid plans, customers can also add a tip.

Can LawnPro remind customers about unpaid invoices?

Yes. Automations can email or text customers before an invoice is due, when it becomes past due, and after a delay you choose. On Grow and Plus, the Get Paid Faster sequence sends a series of reminders and stops as soon as the invoice is paid.

Can I charge late fees automatically?

Yes. Set up to three escalating late fee rules, each a flat amount or a percentage applied a set number of days after the invoice is sent. LawnPro adds the fees automatically, and you can change the rules or turn them off for individual customers.

Can I mail invoices to customers who want paper?

Yes. LawnPro prints and mails invoices by USPS for you using postage credits, so you never stuff an envelope. Statements of open balances can be emailed as PDFs or printed in a batch.

Can I pass credit card fees on to customers?

Yes. In your payment settings, add the processing fee your card processor charges you or a flat fee to card payments. Check your state's rules on card surcharges before turning it on.

Is invoicing included in the free plan?

Yes. The free Solo plan includes invoices, online payments, and the client portal for up to 25 customers. Automatic invoice creation, tips, and customer financing are on paid plans, which start at $39/month.

Does LawnPro invoicing work with QuickBooks?

Yes. QuickBooks Online sync keeps customers, invoices, and payments in step with your books. It is included on the Plus plan and is an add-on on other plans.
